Performs general administrative services necessary to contribute toward meeting the needs of the Department. The incumbent develops, identifies and implements efficient and effective work procedures and processes to ensure that daily needs of the Department are met. The incumbent receives and screens telephone calls, letters, and/or visitors for the Department while responding to routine questions and obtaining and furnishing information with the intention to save time. This individual coordinates and orchestrates meetings, events and conferences of various sizes. The incumbent develops written correspondence, which requires a solid understanding of business operations and objectives, and must be capable of translating spoken ideas and concepts into clear and concise written communication. The incumbent may research a variety of issues pertaining to business objectives. The incumbent will coordinate domestic and international business trips and make mid-trip itinerary changes with minimal disruption. The incumbent functions as a team player and with a true spirit of cooperation and willingness to ensure smooth and effective operation. The position holder must maintain a highly professional demeanor and be capable of working under pressure and with a sense of urgency. Due to the extensive interaction with both internal and external contacts, the incumbent must also possess strong written and verbal communication skills. This position requires a highly organized, creative and detail minded individual to effectively provide highly professional administrative support services to the Department. Function as a team player and with a true spirit of cooperation and willingness to ensure smooth and effective operation; maintain a highly professional demeanor and be capable of working under pressure and with a sense of urgency. -Develop, identify and implement efficient and effective work procedures and processes to ensure that the daily needs of the Department are met while promoting an environment that allows Department members the opportunity to concentrate on higher-end business issues. -Receive and screen telephone calls, letters, and/or visitors for the Department while responding to routine questions and obtaining and furnishing information with the intention to save time. -Solicit information from various sources internal and external to the organization to prepare written correspondence, complex reports and presentations for use by the Department. College degree or combination of experience/education5-7 years experience in an administrative support role which includes project coordinationHighly computer literate with knowledge of Microsoft Office applications, WebEx, Internet researching capabilities, and scheduling software (i.e. Palm), Web based applications. Uses creativity and ingenuity in design and presentation of material Information Systems.Exhibits a professional demeanor capable of acting as an extension of the manager to both internal and external parties. Maintains confidentiality of sensitive information and professionally handles situations.Resolves related office administration and scheduling issues quickly and independently; capable of anticipating the needs of the manager/team; seeks and utilizes resources as required.Understands the managers/teams role in the organization and uses this knowledge in the daily performance of job duties, including assisting the team with international travel.Willing to learn the business and understand the role of Finance within the North American Operations.Able to manage multiple priorities and be timely in meeting due dates.
